Administrative Assistant - Land Department
Position Summary
This role provides administrative support to the Land Department to ensure smooth operations. The ideal candidate is highly organized, proactive, and capable of managing multiple priorities in a fast-paced environment. They will handle a variety of tasks including scheduling, document preparation, data entry, and owner communications, while maintaining a positive and professional attitude.
Key Responsibilities
- Support Landmen with administrative tasks, including maintaining calendars, scheduling meetings, and tracking deadlines.
- Prepare and update reports, spreadsheets, and check requests accurately and on time.
- Handle incoming calls from owners and respond to inquiries professionally.
- Organize and maintain electronic and physical filing systems for land agreements and related documents.
- Assist with notarizing documents and processing invoices.
- Coordinate with internal teams and external partners to ensure timely completion of tasks.
- Maintain confidentiality and adhere to company policies and procedures.
- Perform other duties as assigned.
Qualifications
- High school diploma or equivalent; Associate's or Bachelor's degree preferred.
- Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook); comfortable working in spreadsheets.
- Excellent organizational skills and attention to detail.
- Ability to prioritize tasks, work independently, and keep pace in a dynamic environment.
- Strong written and verbal communication skills.
- Minimum 2 years administrative support role experience
- Familiarity with notarization processes and multi-line phone systems is ideal
